    Accountants for locum pharmacists

Working across pharmacies or combining employed shifts with locum work can make your tax position harder to follow. VMK helps pharmacists bring their income records, expenses and tax deadlines together, with Self Assessment, bookkeeping and Making Tax Digital support where it applies.

Start with your working arrangements, not just your job title

Being called a locum does not by itself decide whether an engagement is employment or self-employment for tax. We start with your contracts, agency arrangements and actual working practices. A limited company is not an automatic tax saving or a way to disregard employment-status rules.

Gather your contracts, information about who controls the work, invoicing arrangements and any status assessments. HMRC's Check Employment Status for Tax guidance explains the factors and information needed for its tool. Where specialist employment or legal advice is needed, we will identify that boundary.

Self Assessment for pharmacists with PAYE and locum income

We can organise a return around the income you actually receive, including employment documents, locum invoices, agency statements and other taxable income you tell us about. Matching invoices to receipts helps identify unpaid work, duplicates and missing entries before filing.

    • Bring P60s, P45s and benefits information alongside your self-employed records, rather than counting the same income twice.
    • Separate business receipts, personal transfers and any tax already deducted so the reconciliation is traceable.
    • Discuss payments on account and an appropriate tax reserve against your expected income, not a guaranteed percentage for every pharmacist.
    • Flag other income, overseas connections or HMRC correspondence early so the agreed work covers your actual position.

If you have missed filings, tell us the tax years and deadlines. We can discuss bringing records up to date without promising that HMRC will waive tax, interest or penalties.

Which expenses should a locum pharmacist record?

Keep evidence of professional subscriptions, registration costs, indemnity cover, relevant training, equipment, software, agency charges and travel you want reviewed. These are review categories, not a promise that each payment is deductible. The purpose of the expense, your employment status and any private use affect the answer.

Do not assume all journeys between home and a pharmacy qualify, or that training for a new activity receives the same treatment as maintaining existing skills. Keep dated records and a description of the business purpose. We can assess the evidence and record the basis for a claim.

Making Tax Digital for self-employed pharmacists

MTD for Income Tax is based on qualifying gross self-employment and property income, not simply your profit or PAYE salary. Subject to exemptions, the start dates are 6 April 2026 for qualifying income over £50,000 in 2024/25, 6 April 2027 for over £30,000 in 2025/26, and 6 April 2028 for over £20,000 in 2026/27.

We can check your position, organise digital records and agree responsibility for updates and the year-end return. A company follows different obligations; do not apply the individual thresholds to company turnover. See HMRC's MTD eligibility guidance, our sole-trader MTD guide and software setup support.

VAT and business structure need a pharmacist-specific review

Do not assume a pharmacist's engagement has the same VAT treatment as a pharmacy's sale of prescribed medicines. The nature of the supply, contracts and who is supplying whom matter. We review your arrangements before advising on registration, invoices or a change of structure.

If you are considering a company, ask us to compare administration, extraction of profits and your working arrangements rather than choosing on a headline tax rate. For pharmacy owners, our separate VAT and NHS accounts guide covers business-record questions.

A practical first conversation for busy locums

Tell us whether you are employed, self-employed or working through a company, your number of engagements, the tax years needing attention and the software you use. Avoid sending national insurance numbers, passwords or patient information in the initial contact form.

After we agree the service, we can arrange appropriate secure records, a filing timetable and a quote. Ask VMK about locum pharmacist accounts.

VMK is based at 17 Hunters Grove, Kenton, Harrow HA3 9AB. Pharmacy owners and pharmacists in London and Central London can work with us remotely using secure document exchange, cloud accounts, telephone and video meetings. We do not claim a pharmacy office in each area.

Explore our service areas: Harrow, Kenton, Kingsbury, Wembley, Central London and London. Discuss your location, business structure and records with us before agreeing a service.

Service information prepared on 23 October 2026. Tax treatment depends on your contracts and circumstances. Our NHS payment guidance concerns community pharmacies in England; arrangements elsewhere in the UK need a separate review. Accounting support is not clinical, GPhC regulatory, legal or investment advice.

    Frequently asked questions

Do locum pharmacists have to be self-employed?+

No. Tax status depends on the engagement and working arrangements, not the label locum. VMK can review the relevant records and discuss whether a separate status assessment or specialist advice is needed.

Can you handle employed income and locum income in one tax return?+

Yes. Where a return is required, VMK can review PAYE documents alongside self-employed records and other income within the agreed service. Tell us about all relevant income and tax already deducted.

Can every locum pharmacist claim travel and training costs?+

No. Keep the evidence, but deductibility depends on the purpose of the cost, tax status, working arrangements and relevant rules. We review possible claims rather than guarantee that all travel or training is allowable.

Can you help a locum pharmacist with Making Tax Digital?+

Yes. We check whether the individual qualifying-income rules and exemptions apply, then discuss digital bookkeeping, compatible software, quarterly updates and the year-end tax process.

Do you work with pharmacists in Central London?+

Yes. VMK supports London and Central London pharmacists remotely from Kenton, Harrow, with telephone, video meetings and secure document exchange. We do not have a staffed Central London office.
